A quick explanation
The CBT Flow Client app helps you work with the therapist or practice that invited you. Please read these Terms before creating or using your account.
- Your Practice, not CBT Flow, provides your therapy. Your Practice is the therapist or therapy practice named in your invitation and in the app.
- CBT Flow provides the technology. CBT Flow does not diagnose you, provide therapy or replace professional judgement.
- The app is currently for people aged 18 or over. If you are under 18, you must not create or use an account.
- CBT Flow is not an emergency or crisis service, and nobody at CBT Flow continuously monitors the app.
- If you or someone else is in immediate danger, call 999. If you need urgent help with your mental health, call the NHS on 111 and select the mental health option. To talk to someone now, call the Samaritans on 116 123 (free, 24 hours a day) or text SHOUT to 85258. If it is not urgent, contact your therapist.
1. Who we are
The Client app is provided by Digita1 OÜ, trading as CBT Flow (we, us or CBT Flow), an Estonian company with registry code 17003669 and registered office at Sepapaja tn 6, 15551 Tallinn, Harju maakond, Estonia.
You can contact us at:
- app or account support: support@cbtflow.com;
- legal questions: legal@cbtflow.com;
- privacy questions: privacy@cbtflow.com; and
- security concerns: security@cbtflow.com.
Your Practice's identity and contact details appear in your invitation and/or in the app. Contact the Practice about your therapy, appointments, clinical records, charges, cancellations, refunds or complaints about therapy.
2. These Terms and your therapy agreement
These Terms are an agreement between you and CBT Flow about using the Client app. They do not replace the agreement, privacy information, consent documents or cancellation policy your Practice gives you.
Your Practice independently decides whether and how to provide therapy, what to charge, what app activities to assign, and how to respond to information you submit. CBT Flow is not a party to your therapy agreement and does not supervise your Practice.
If there is a conflict between these Terms and your Practice's terms about the therapy itself, your Practice's terms govern the therapy relationship. These Terms continue to govern the app technology and your relationship with CBT Flow.
3. Who may use the app
You may use the Client app only if:
- a UK-established therapist or practice has invited you;
- you are at least 18 years old;
- the Practice has confirmed that app use is suitable and that it has addressed the consent, confidentiality and safeguarding arrangements needed for your care; and
- you accept these Terms yourself.
Do not use another person's invitation or account. Tell your Practice or CBT Flow promptly if your invitation details are wrong.
We plan to make the app available to 16 and 17-year-olds in a future release, once dedicated safeguards for younger users are in place. These Terms will be updated first. Whatever your age, a parent, guardian or family member does not automatically get access to your account, messages or records through CBT Flow.
4. Your account and device
You must:
- give accurate information and keep it up to date;
- keep your sign-in details and devices secure;
- not share your account;
- check that messages and notifications are genuinely from CBT Flow or your Practice; and
- tell us promptly if you think someone else has accessed your account.
Notifications can appear on a locked screen. You should adjust your device notification settings if other people can see your device.
5. What the app does
Depending on what your Practice enables, the app may let you view or complete Treatment Plan activities, homework, questionnaires or outcome measures; exchange messages; see appointments; receive reminders; view files; and make or review payments.
The Practice chooses the clinical content and how it is used. A score, trend or prompt is only one source of information and may be incomplete, delayed or wrong. Your therapist must use professional judgement and should not rely on the app alone.
CBT Flow may update, improve, suspend or remove app features. We will use reasonable care in providing the app, but we do not promise that it will always be available, uninterrupted or error-free.
6. Therapy, what you share, and urgent help
The app is a companion to therapist-led care. It is not medical advice, a diagnosis, a substitute for speaking with a qualified professional, or a self-guided therapy service supplied by CBT Flow.
Information you enter is made available to your Practice as part of your care. Please understand what that does and does not mean:
- CBT Flow does not continuously monitor your entries or messages;
- your therapist may not be working or available when you submit information, and may not see it immediately;
- the app does not currently generate automated risk alerts — nobody is notified automatically if your answers suggest you are struggling. If we introduce a feature like that in the future, it will only ever be an aid for your therapist, and we will update these Terms and the Client Privacy Notice first.
Do not use the app to request emergency help. Follow the urgent-help guidance at the start of these Terms and any safety plan agreed with your therapist.
7. Messages, appointments and reminders
App messages are not a guaranteed real-time communication channel. Your Practice sets its own response times and out-of-hours arrangements. Contact it to understand when messages are reviewed.
Reminders and appointment information can be affected by connectivity, device settings or third-party services. You remain responsible for following the appointment and cancellation arrangements agreed with your Practice.
8. Paying for therapy
When the payment feature is available:
- the Practice supplies the therapy and sets the price and its cancellation/refund rules;
- your payment is made to the Practice through Stripe's payment services and CBT Flow's payment technology;
- CBT Flow does not supply the therapy and does not decide whether it was clinically appropriate;
- the Practice issues the therapy invoice in its own name; and
- your bank or card statement will normally show your Practice's own trading name.
Before you confirm a payment, the checkout shows the Practice, amount and currency. Contact the Practice first about a therapy charge, cancellation, refund or invoice. You may also contact CBT Flow at support@cbtflow.com if there is a technical payment problem.
Nothing in these Terms limits rights you have under law, including rights in relation to unauthorised payments or services bought from the Practice.
9. How you may use the app
CBT Flow gives you a personal, limited, non-transferable right to use the Client app for your own care while your account is active. You must not:
- access another person's account or pretend to be someone else;
- threaten, abuse or harass another person;
- upload unlawful, malicious or infringing material;
- introduce malware or try to bypass security;
- copy, sell, scrape, reverse engineer or commercially exploit the app, except where law does not allow us to prohibit an activity; or
- use the app in a way that harms other people or disrupts the service.
10. Information you add
You keep any rights you have in information you add. You allow CBT Flow to host, copy, transmit and otherwise handle it only as needed to provide, secure and support the app, follow the Practice's lawful instructions, and meet our own legal obligations as explained in the Client Privacy Notice.
Do not upload information about another person unless your Practice has asked you to and it is appropriate to do so.
11. Intellectual property
CBT Flow and its licensors own the app, its design, software and CBT Flow content. Your Practice or another licensor may own activities or documents assigned to you. These Terms do not transfer ownership to you.
12. Privacy
Our Client Privacy Notice, at cbtflow.com/legal/client-privacy, explains how personal information is handled and how to exercise your rights. It is separate from these Terms; we do not ask you to "consent" to a privacy notice simply by accepting these Terms.
For most clinical records, your Practice decides why and how your information is used and CBT Flow handles it for the Practice. CBT Flow also makes some limited decisions about account security, support and legal compliance. The notice explains this in more detail.
13. App stores and third-party services
Your mobile network, operating system and app store may have their own terms and privacy practices. Stripe also processes payments under its own privacy information. These organisations are not controlled by CBT Flow.
Apple devices
If you download the app from Apple's App Store: these Terms are between you and CBT Flow, not Apple; Apple has no obligation to provide maintenance or support for the app; Apple is not responsible for the app, for any product warranty, or for addressing claims relating to the app (including product liability, legal or regulatory compliance and consumer-protection claims) or third-party claims that the app infringes intellectual-property rights; and Apple and its subsidiaries are third-party beneficiaries of these Terms and may enforce them against you in relation to your use of the app.
Google Play
If you download the app from Google Play, your use is also subject to the applicable Google Play terms.
14. Ending or restricting access
You may stop using the app at any time. You can ask the Practice to end your access, or request account deletion as described at cbtflow.com/legal/account-deletion (or by emailing privacy@cbtflow.com).
Your Practice may end your access, including when therapy ends. CBT Flow may restrict or end access where reasonably necessary to protect you or others, secure the service, follow the Practice's lawful instruction or the law, address misuse, or when the Practice's CBT Flow service ends.
Ending app access does not automatically erase the Practice's clinical record. The Practice decides how long it must retain that record under its professional and legal responsibilities. You can still ask about your information as explained in the Client Privacy Notice.
15. Our responsibility to you
We do not exclude or limit responsibility where it would be unlawful to do so, including responsibility for death or personal injury caused by our negligence, fraud or fraudulent misrepresentation.
CBT Flow is responsible for foreseeable loss or damage caused by our breach of these Terms or failure to use reasonable care. We are not responsible for:
- therapy, clinical decisions, safeguarding decisions or the acts or omissions of the Practice;
- loss caused by information or instructions you gave incorrectly;
- loss that was not reasonably foreseeable when you accepted these Terms; or
- business losses, because the Client app is for personal use.
This section does not affect your mandatory consumer rights.
16. Changes to the app or these Terms
We may make changes for legal, regulatory, security, technical or service reasons. We will explain material changes in clear language and, where appropriate, ask you to accept updated Terms before continuing to use the app. We will not use a change to remove rights that have already arisen under mandatory law.
The date and version appear at the top of these Terms.
17. Complaints and disputes
Contact your Practice about therapy, clinical records, professional conduct, appointments, fees or refunds. Contact CBT Flow about the app technology, account security or these Terms.
We will try to resolve an app complaint with you. These Terms are governed by English law. Wherever you live, you keep the benefit of mandatory consumer protections and court rights that cannot lawfully be taken away, including any right to bring proceedings in your local courts.
