How do I set up my first client in CBT Flow?
Create your therapist profile, add a client, and you’re ready. Within minutes, you’ll have access to evidence-based treatment plan templates. From there, you choose a protocol that fits your client’s presentation, customize it to their needs, and start building structure into your work together.
What do I need to get started?
A web browser, an internet connection, and a commitment to structured treatment. No special software, no steep learning curve. If you’re already thinking in CBT terms (formulation, behavioral experiments, progress measurement), CBT Flow will feel like a natural extension of how you already work.
Can I import existing client data or notes?
Currently, you’ll start fresh with CBT Flow to ensure data quality and HIPAA compliance. This is actually a good moment to re-formulate using our structured approach—you’ll often find it clarifies your clinical thinking. We’re exploring bulk import options for the future.
Do I need training to use the platform?
Most therapists find it intuitive. The platform mirrors standard CBT workflows you already know. We provide onboarding guides and you can reach our support team if you get stuck. Think of it as learning a new tool that speaks your language, not a new language entirely.
How does CBT Flow support evidence-based treatment planning?
We’ve built the platform on structured, protocol-driven treatment. Our treatment plans draw from gold-standard CBT research and clinical frameworks. You’re not guessing at what to do next—every protocol is grounded in evidence about what works. This approach isn’t new; it’s just been scattered across textbooks and training. We’ve systematized it.
What treatment protocols and tasks does the platform include?
We provide research-backed protocols for common presentations (depression, anxiety, OCD, etc.), each with structured treatment plans that guide session-to-session work. Within each plan, you assign evidence-based tasks: behavioral activation schedules, thought records, exposure hierarchies, psychoeducation materials, and behavioral experiments. Every task is designed to bridge the gap between session and real life—where change actually happens.
Are these protocols clinically validated?
Yes. Our protocols are informed by CBT research and clinical best practice. Our co-founder studied CBT at Oxford, where much of modern CBT science is centered. The protocols reflect that rigorous tradition: they’re systematic, measurable, and built on decades of evidence about what actually changes behavior and thought patterns.
Can I customize treatment plans for my clients?
Absolutely. The protocols are starting points, not straightjackets. You can adapt them based on your client’s specific presentation, preferences, and pace. The structure remains—formulation, behavioral experiments, progress tracking—but how you get there is yours to shape.
How much time does creating a treatment plan actually take?
Not long. You select a protocol (2 minutes), drag-and-drop parts of it or import fully. You might quite often have unique cases that is hard to put into one box, that’s why you can combine protocols for different conditions and outcomes. In that case it’s best to select a more prevalent or prioritative issue as a basis and then go back and look into other available protocols. Our aim is to cover 80-90% of conditions and we keep all protocols up to date.
How much time can I save?
Treatment plans are templated, progress is tracked automatically from client data, and session notes have structure baked in. You’re not starting from a blank page each time. You’re also not chasing clients via email to ask if they did their homework—they either completed it or they didn’t, and you can see it. Less admin, more clarity.
Can I track progress across multiple clients?
Yes. You see individual client progress dashboards and a bird’s-eye view of your caseload. Outcome measures are tracked consistently, so you know which approaches are working and which need adjustment. Professional plans include client scoring based on a dozen of criteria which suggests which cases need more attention. This is how you move from intuition to data-informed practice.
How is this different from general note-taking apps or paper notes?
Paper is flexible but unmeasurable. General apps are flexible but don’t understand CBT. CBT Flow is built specifically for how CBT works: formulation → intervention → measurement → adjustment. You get structure without losing flexibility. You’re not reinventing the wheel for every client; you’re adapting proven protocols to their needs. That’s the difference between intuitive practice and systematic practice.
Why should I switch if I'm already managing clients fine?
You probably are managing them fine – but are you measuring progress systematically? Are you ensuring clients do between-session work? Are you using evidence-based protocols consistently? Most therapists rely on skill and intuition (which matter), but adding structure and measurement makes you significantly more effective. Research shows structured treatment beats unstructured treatment. CBT Flow closes that gap.
Is my client data secure?
Yes. We use enterprise-grade encryption for data in transit and at rest. All communications are HTTPS encrypted. We follow security best practices at every level. Your data matters—therapeutically and legally—so we treat it accordingly.
Are you HIPAA compliant?
We’re built with HIPAA compliance in mind and are moving toward formal certification. All client information is treated as protected health information from day one. We don’t share data with third parties, and we’re transparent about exactly what we do with your information.
Where is data stored?
On secure, geographically redundant servers with automated backups. You own your data; we’re the steward. If you ever leave CBT Flow, your data is yours to export.
What about client privacy if they're accessing the portal?
Clients log in securely and only see their own information. Session access is controlled by you—you decide when they can and can’t see the portal. The system is designed so clients see what you want them to see, nothing more.
What's the pricing model?
We offer three plans for solo practitioners, all per-therapist per month. You’re not charged per client, per session, or per task—just a straightforward monthly subscription. This way you can scale your caseload without worrying about the bill growing with it.
